System Administrator – Museum Management Software (Drupal)

Munson is seeking a full-time, Monday through Friday, 35 hours/week, System Administrator – Museum Management Software (Drupal) to join our Information Technology team on-site in Utica, NY. The System Administrator is responsible for maintaining and supporting the organization’s use of a museum management system built atop Drupal. This position involves ensuring the accuracy and consistency of data, assisting staff with system use, managing user access, and liaising with vendors for troubleshooting and updates. Additionally, the administrator will provide training and guidance to staff to optimize their use of the system for daily operations.

This position will be required to support the IT team with helpdesk tickets and user support. The System Administrator will also act as liaison between IT staff and CMS vendors.

ESSENTIAL JOB FUNCTIONS

System Maintenance and Support:

  • Maintain and update information in the museum management system to ensure data accuracy.
  • Monitor system performance and address any issues in collaboration with vendors.
  • Respond to staff inquiries and troubleshoot system-related issues.

User Management and Training:

  • Manage user accounts, roles, and permissions within the system.
  • Provide training and create user guides to help staff efficiently use the system.
  • Assist with onboarding new staff to the platform.

Data Import/Export and Reporting:

  • Assist with importing and exporting data as needed for museum operations.
  • Collaborate with staff to create and run standard reports.
  • Support data analysis by preparing and sharing insights based on system data.

Vendor Collaboration:

  • Act as the primary liaison between the organization and the system vendor for updates, new features, and issue resolution.
  • Coordinate with the vendor to ensure system configurations meet organizational needs.

Policy and Procedure Development:

  • Contribute to the creation and documentation of policies and procedures related to the use of the system.
  • Ensure adherence to best practices for data management within the system.

Perform other duties as assigned.

KNOWLEDGE, SKILLS, & ABILITIES

  • Familiarity with customer or museum management systems (similar platforms preferred).
  • Experience with Drupal-based systems is required.
  • Strong organizational and time management skills.
  • Exceptional attention to detail and problem-solving abilities.
  • Proficiency in spreadsheets (e.g., Microsoft Excel, Google Sheets) for basic reporting and data management.
  • Ability to learn and adapt to new software systems.
  • Strong communication and interpersonal skills to interact effectively with staff and vendors.

QUALIFICATIONS

  • Bachelor’s degree in a related field or equivalent work experience from which comparable skills have been acquired is required.
  • At least 1-2 years of experience working with software systems, preferably in an administrative or support role.
  • Experience with Drupal site administration and configuration is required.
  • Basic understanding of data management principles (SQL knowledge is a plus but not required).
  • Experience in training and supporting end-users is highly desirable.

Organizational Service: Will serve on intra-departmental committees as required and complete other duties as assigned.

COMPUTER MACHINE & EQUIPMENT SKILLS

Basic personal computer skills that include the ability to send/receive e-mail messages, post information to a database or spreadsheet, and perform basic word processing, and/or data entry.

Basic knowledge/use of computer, printer, photocopier, phone system, fax machine, and scanner. Requires experience with Drupal, MS Office Suite, Google Suite, Adobe Suite and various software programs.

The final candidate will be required to complete a post-offer, pre-employment background check.
