JOB SUMMARY
As the Coordinator, Museum and Gallery Services, you will manage the entire international freight forwarding process-air, sea, and ground. While an interest in fine art, museums, or cultural exhibitions is appreciated, your expertise in international shipping operations is most critical. You’ll play a hands-on role in ensuring world-class logistics service for our museum and gallery clientele.

ESSENTIAL JOB FUNCTIONS

  • Provide timely completion of estimates and bookings across air, sea, and ground freight.
  • Serve as the main liaison for clients, vendors, and regulatory agencies (Customs, BIS, CBP, TSA, USDA, FDA, USFWS, DOT, etc.).
  • Independently manage export/import files, including documentation, rating, billing, and end-to-end communication.
  • Keep digital and physical files meticulously organized and compliant.
  • Collaborate with the department manager to improve operations, client experience, and office coordination.
  • Anticipate client needs and provide proactive, tailored logistics solutions.
  • Maintain compliance with Masterpiece’s operational policies and procedures.
  • Build and maintain quality relationships with vendors.
  • Develop strong working knowledge of Outlook, Excel, Word, FileMaker Pro, CargoWise, and internal systems.
  • Attend internal meetings and industry events as needed.
  • Occasionally work from IAH airport to oversee operations.
  • Perform additional duties as assigned.

QUALIFICATIONS/ REQUIREMENTS

  • 1-2 years of experience in international freight forwarding, import export, or international logistics.
  • Experience interfacing with U.S. Customs and other regulatory agencies.
  • Proficiency in Microsoft Office (Excel is a must).
  • Excellent communication skills with both internal teams and external clients.
  • A passion for problem-solving and managing details under pressure.
  • Experience in museum or gallery logistics is a plus, but not required.

COMPENSATION

$23-$38 per hour. Overtime is available and sometimes expected. We consider a variety of factors in determining base compensation including but not limited to, experience, education, certifications, internal equity, market data and geography.

SCHEDULE REQUIREMENTS

  • Office-based role (3 days per week onsite in West Houston, TX)

PHYSICAL REQUIREMENTS

The position is in an indoor, office environment, requires the ability to communicate with internal and external customers or vendors verbally and in writing, sit for periods of time, operate typical office equipment which requires seeing and the use of a keyboard.
