THE DEPARTMENT
The Finance department is overseen by the Chief Financial Officer. The department consists of four groups: Revenue Accounting, Accounts Payable, General Accounting, and Oracle Financial System Support. The group is responsible for the monthly and annual publishing of financial results, preparing travel agent commissions, processing vendor invoices, credit card processing, tax compliance, treasury, cost accounting, completing operational transactions, and financial reporting.
THE ROLE
The Payroll & Accounting Coordinator will be responsible for ensuring that all time worked is entered into the system timely and accurately so that payroll can be processed. The Coordinator will also assist the Accounting Department is various administrative tasks
THE POSITION
The Payroll & Accounting Coordinator is responsible for the following results:
Payroll
- Maintaining payroll information by collating, calculating and entering data into ADP
- Assisting with the preparation of reports that include summaries of earnings, tax deductions, leave, and non-taxable wages
- Resolving payroll discrepancies and answering any employee payroll inquiries
- Maintaining all payroll operations according to company policies and procedures
- Assist with the processing and issuing W-2 forms to employees
- Providing written and verbal employment verifications
- Supporting Time & Attendance within ADP
Accounting
- Importing payroll files for the General Ledger for each payroll
- Updating accrual schedule for payroll files to the General Ledger
- Updating payroll calendar and schedule for payroll and 401K contributions
- Generating reporting and importing file to HSA for employee contributions and employer contributions.
- Expressing ideas for process improvements to increase flexibility, reduce administrative costs, and increase interactivity with customers
- Contributing to a team effort by accomplishing related results or projects as needed
EDUCATION
Associates degree in Accounting/business administration is a plus or 2-3 years of education and/or experience in related field
Experience Preferred
- Proven experience as payroll clerk or assistant
- Familiarity with general accounting principles
- Experience in data collection, entry and reporting with great attention to detail and confidentiality
- Computer savvy with working knowledge of relevant HRMS/Payroll software
- Outstanding organizational and time management skills
- Excellent communication abilities with aptitude in problem-solving
